Use the strongest overlap, not just any overlap
If one team starts at 8:00 and another finishes at 17:00, there may technically be overlap. But a narrow overlap can still create rushed handoffs, low attendance, or recurring meeting fatigue. A better window is one that sits comfortably inside the workday for the teams that join most often.
A practical decision framework
- Use full overlap for recurring team meetings.
- Use partial overlap only for stakeholder updates or lightweight syncs.
- Rotate difficult windows when three regions are involved.
- Prefer async updates when no balanced recurring slot exists.
Typical regional patterns
US East and Europe often have the easiest recurring overlap. US West and Europe usually require compromise. US plus Europe plus APAC often needs either rotation or a split between recurring and async workflows.
